When are Regular Board of Education meetings held?

Regular Board meetings are held at 6:00 p.m. and are normally scheduled for the third Monday of each month during the school year, unless otherwise noted. Please see below for meeting dates and locations.

 

Who can attend Regular Board meetings?

Regular Board meetings are open for the public to attend.

In-Camera Board meetings are closed to the public.

 

How can individuals or groups interact with the Board?

Regular Board meetings are meetings held in public that follow the rules & procedures for official meetings of an elected body. If individuals or groups wish to address the Board, please see the information below on how to make a presentation to the Board. Presentations will be heard at the beginning of the meeting. The Board encourages and welcomes public attendance at Regular Board meetings; however, public participation is limited to the presenters listed on the agenda.

 

Alternately, or in addition to presentations at meetings, individuals or groups may submit written letters to the Board at any time.

How can individuals or groups make a presentation to the Board?

Community groups, parents, students, and stakeholders should contact Mrs. Darlene Turner, Secretary-Treasurer, at the School Board Office at 250-567-2284 one to two weeks prior to the meeting to request to make a presentation.

 

Presenters must complete the form below to submit their topic, name(s) of presenter(s), and any accompanying handouts or digital presentations that will be shared during their presentation at least one week prior to the meeting. When the presentation is scheduled, presenters will be advised of meeting arrangements and times.

As much as we attempt to provide timely opportunities for presenters to appear before the Board of Education, we typically can accommodate only 3-4 presentation per public meeting. In the event that a presenter cannot be accommodated at the meeting they request, they will be scheduled to present the following month.

 

What topics can be presented to the Board?

The public shall be provided an opportunity to make presentations to the Board on relevant, public education issues.

 

Matters pertaining to personnel issues, individual students or parent complaints will be directed through our processes outlined in:

            • ‘Policy 204.4 – Resolving Public Concerns Regarding Personnel, Programs or Procedures’; or,
            • ‘Policy 500.2 – Appeals Procedure Bylaw.’

How long are presentations?

Presentations will be limited to 10 minutes. Additional time may be granted to allow presenters to respond to clarifying questions from the trustees.

 

Are decisions made at the time of the presentation?

Trustees may wish to ask clarifying questions following the presentation; however, the Board will not be in a position to provide a decision or formal response at the time of the meeting. The Board must ensure all relevant information is received and given the necessary time to make a thoughtful and informed decision. Upon request, the Board may provide a written response to the presenter(s).
